COMPUTERS AND ACCESS
The Guild uses the Universities network infrastructure to facilitate its networking communication and does not have direct access to manage and/or maintain the network. The Guild does manage and maintain its own servers, workstations and network printers.
ACCESS AND PASSWORDS
All Student Representatives accessing Guild computers need to have a valid logon account.
Accounts and password are created by Technical Services and given to the Guild's Secretary for distribution to Student Representatives.
You will be given your username and a temporary password so you can logon.
Passwords will expire every four months and you will be notified to change your password seven days prior to it expiring. You should change your email password within these seven days.
INTERNET ACCESS
Internet access is provided by the University and the Guild has to adhere to their internet policies rules and regulation. Access to the internet is given as a privilege and is not a right.
The following content and file types are not to be downloaded to Guild PC’s;
- MP3, EXE, AVI, MPG, MPEG, MOV, RM, RAM
- Viewing of pornographic sites is strictly forbidden and also automatically blocked by policy.
ANTI-VIRUS SOFTWARE
All Guild computers are protected by Defender and Trend Micro Anti-Virus products.
WORKING REMOTELY
Sometimes you may need to work from home. Please read this guide on how to login in to your work computer when you're not in the office.
EMAIL
EXTERNAL EMAIL ACCESS
The Guild provides external email access to all Student Representatives with a Guild login account.
On any computer with an internet connection open up a web browser and go to: https://mail.guild.curtin.edu.au/owa
Enter your normal Guild username and password to login.
You can also get your emails on any mobile device.

EMAIL MAINTENANCE
Each email account has a send and receive size limit of 32mb. Email with attachments larger than this will not be sent or received. File types including, exe, .mp3 .avi. are blocked by rules for security compliance.
You can reduce the storage of your emails by:

Not signing up to sites using your Guild email, as you will be Spammed after this. Remember to clear out unwanted mail.

Always remember to unsubscribe from any subscriptions.
EMAIL FILTERING
The Guild IT uses Mailguard email filtering software which shields users from spam, junk and viruses.
EMAIL AWARENESS
Don’t click links in emails, don’t necessarily trust the content of an email message and don’t open email attachments – unless you are expecting the email or know the sender.
M-FILES
The Guild utilises a Document Management System (DMS) called M-Files for Storing, Accessing, Modifying and Saving all Files.
It replaces the Traditional Hierarchical folder system with a Google style search engine that finds tags associated with files you label.
It is authenticated using the common username and password associated to your login and email, and having valid permissions.
IT Support recommends that all work related files be stored in M-Files. This is necessary so that nightly data backups will automatically backup any data that is stored in these locations.
Any information stored locally on the C drive of your PC or laptop, will not be recoverable in the event of computer failure.

PHOTOCOPYING, PRINTING AND SCANNING
The Guild has photocopiers for you to use for Guild projects, events and meetings.
You need to have a PIN in order to use the photocopier as it’s controlled by an authentication system (called Auditron,). Get your PIN from your department manager.
MAPPED PRINTERS
- If you're in the Guild Building 106F, Level 1 (ground floor) your default printer will be the “FX ApeosPort-IV C4570 PCL 6” printer. This is done automatically when you logon.
- If you're in the Guild Building 106F, Level 2 (first floor) your default printer will be the “FX DocuCentre-V 55755 PCL 6” printer. This is done automatically when you logon.
SCANNING
The printers have a scan to email (Outlook) function.
DO'S AND DONT'S
Here's some things to keep in mind..
- Don’t install any Software on your computer without the written approval of the Technical Services Manager.
- Don’t leave work on your desktop, as it won’t be backed up.
- Do try and switch your computer off every Friday for updates.
- Do utilise your Personal drives M:Drive as they are backed up.
- Do ask for help
