Guild Club Venues

GUILD CLUB VENUES

Guild club venues are exclusively available for booking by Guild-registered clubs, ensuring priority access without competing with scheduled university classes or departmental activities. These spaces offer a flexible and club-friendly alternative to Curtin-controlled venues, with shorter notice periods available depending on your event category. Whether you're planning a meeting, workshop, or social gathering, Guild venues are designed to support your club's needs with convenience and accessibility.

Venue capacities and room capabilities for Guild spaces can be viewed online, helping you choose the most suitable space for your event.

 


BOOKING TERMS & CONDITIONS

1. General Requirements

  • All events must comply with the Guild Club Events Policy.
  • A separate Guild Event Application is required for all club activities and must be approved before going ahead.
  • The event must be run by the club. Bookings cannot be made on behalf of another organisation or group. Collaborations may be permitted with prior approval.
  • The majority of attendees must be Curtin students.
  • Any changes to event plans after booking must be submitted to the Guild Club Support Team for approval.

2. Cancellation

  • The club may cancel the booking by providing written notice to the Guild.
  • The Guild may cancel the booking (before or during the event) and any future bookings if:
    • The club breaches these Terms or Special Conditions and fails to rectify.
    • Safety, wellbeing, legality, or alignment with Curtin and Guild’s values is compromised.
    • Required or recommended under any directions.
    • The venue is damaged or deemed unsafe.
    • If cancelled due to safety concerns, Guild will assist in finding a replacement venue but does not guarantee availability.

3. Venue Access & Bond

  • Keys for Club HQ and Meeting Room @ Central must be returned on time, as specified in your confirmation email.
  • A $50 bond payment (EFT only) is required for Club HQ and Meeting Room @ Central bookings. Payment is due on the day of booking when collecting the venue key.
  • The bond will be fully refunded to the original debit/credit card upon key return, provided all terms and conditions are met.
  • After the event, the club may be charged for:
    • Cleaning costs
    • Repairs for damage or loss
    • Any other additional charges incurred
    • The Guild will issue an invoice for these charges if the total cost exceeds the bond withheld, which must be paid within the specified timeframe.

4. Venue Use & Conduct

  • All spaces must be left clean and tidy, and returned to their original layout. Doors and windows must be locked.
  • Damage to property or equipment will incur full repair or replacement costs charged to the club.
  • No amplified music or excessive noise (80dB limit at all times).
  • No food or beverages may be sold or provided unless pre-approved. Approved food offerings cannot be changed without confirmation from the Guild Club Support Team.
  • The club must comply with venue capacity limits.
  • The club must not bring or use fire, candles, smoke/fog effects, or pyrotechnics in the venue.

5. Compliance & Responsibilities

  • The club is responsible for ensuring all attendees comply with:
    • Guild policies and procedures for clubs, including but not limited to:
      • The Safe Spaces Agreement
      • The Clubs Charter
      • Club Events Policy
      • Club Event Application Process
      • Guild’s Equity & Diversity values
    • Curtin policies and procedures, including but not limited to:
      • Curtin’s Code of Conduct
      • Diversity, Inclusion and Belonging Policy
      • Health and Safety Policy
      • Health and Safety Responsibilities Procedures
    • All applicable laws, regulations, and local and state government standards
    • Any directions issued by Guild.
  • The Guild or Curtin may update its policies and procedures at any time. Notice will be provided for changes that impact the club or the event.
  • The Guild or Curtin staff may conduct checks during the event (including setup and pack-down) to ensure compliance.
  • The Guild or Curtin may report non-compliance to relevant authorities which may trigger Guild’s Club Escalation Policy.
