RUNNING CLUB EVENTS

EVENT APPLICATIONS AND VENUE BOOKINGS

All club events and activities require Guild approval. This includes events & activities on AND off-campus.

Clubs are able to have events provided that the requirements in the Guild Club Events Policy are met. Clubs must:

  • apply for and meet approval requirements (all events must be approved),
  • not conduct prohibited events,
  • meet legal requirements (e.g. liquor and food licences),
  • act to ensure the health, safety and wellbeing of all students.

APPLICATION AND APPROVAL PROCESS

To gain Guild approval, clubs must notify the Guild:

  1. Before planning your event, check which category your event falls under & how much lead-in time is required to notify the Guild.
  2. Prepare your event plan/brief for your event application. Here are some event planning resources.
  3. Lodge your event with the Guild & book a venue.
  4. Continue finalising your event plans.
  5. Do not go ahead with the event without approval. Please always follow-up with the Guild Club Support Team if an approval has not been received.
  6. Follow all safety management procedures & if an incident occurs, always report it.

Check out the event planning resources which includes the 2024 Event Management Workshop presentation and a growing library of templates. The presentation covers event objectives, target markets, resources, budgets, venues, entertainment, stakeholder engagement, committee task delegations, risk management and how to plan an event.
